  • Overview

    The Safety Management System (SMS) Administrator is responsible to aid in the development, administration and continuous improvement of the SMS. They aid in the review of all aspects of Guardian Flight for the promotion of safety. They will assess and aid in the implementation of change to decrease and/or mitigate the occurrence or re-occurrence of threats to life/limb or property while promoting awareness of risk for all employees.  They also aid in the establishment and maintenance of a culture of safety while promoting all aspects of safety and accident/injury prevention throughout the company. 

    Responsibilities

    DUTIES

    ·         Safety Management System (SMS)

    o   Aid in the development, operation and continuous improvement of the SMS in accordance with the guidance contained in Federal Aviation Administration 14 CFR Part 5

    ·         Safety Risk Management (SRM)/Safety Assurance (SA)

    o   Collaborate with the Director of Safety to manage the organization’s employee hazard reporting program to include: a review all reports, coordinate mitigation strategies with stakeholders and the Director of Safety, and tracking mitigating actions and employee feedback

    o   Develop and maintain audit tools to measure policy, safety and regulatory compliance

    o   Actively administer the auditing program in accordance with the company SMS

    o   Document findings and prepare reports and/or presentations, and recommendations based on the audit findings.

    o   Provide follow up and feedback to respective work areas to ensure that deficiencies are resolved

    o   Travel to various locations within the company and/or collect pertinent statements, evidence and information important to the analysis of an accident or incident

    o   Prepare investigative reports and presentations for appropriate people and entities

    o   Provide cooperative assistance to external investigative boards and agencies

    ·         Safety Promotion

    o   Develop current safety training presentations and topics relevant to current safety and industry best practices

    o   Conducts training for all new and current employees

    o   Makes safety training topics and materials available to appropriate staff to facilitate remote employee education

    o   Coordinate monthly corporate safety committee meetings to include keeping agendas, minutes, attendance and all mitigating actions.

     

    REPORTING RELATIONSHIPS

    ·         Reports to:  Director of Safety

    ·         Interrelationships:  All employees, managers, directors, vice presidents and external agencies.

    Qualifications

    QUALIFICATIONS

    • Education:
      • Associate’s Degree or equivalent experience
    • Key Skills:
      • Very Strong Written and expressed communication skills
      • Knowledge of business and administrative principles involved in strategic planning
      • Ability to analyze problems and produce solutions while staying within the policies and procedures of the organization and state and or federal laws
      • Excellent interpersonal, verbal, written, organizational, analytical and presentation skills
      • Advanced computer skills (MS Access, Word, Excel, E-mail, and PowerPoint)
      • Willingness to travel to program and base-site locations to implement and promote safety processes and provide safety education
      • Willingness to perform participate in flight crew orientation(s)
    • Highly Desired Skills and Experience:
      • Office Administrative Assistant experience
      • Knowledge of current FAA Safety Management System (SMS) initiatives and FAA regulations
      • Knowledge of Department of Transportation (DOT) regulations
      • Understanding of Occupational Safety Health Administration (OSHA) practices
      • Experience with related aviation/clinical programs
      • Experience with Aviation Safety Management
      • Experience with aviation business administrative task
      • Experience interpreting FAA regulations and working in an FAA Part 121 or 135 operation with a robust SMS 

    WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

    • Work is normally performed in a typical office work environment
    • Some exposure to physical risk
    • May be required to sit for long periods of time
    • Limited physical effort required
    • Possible flight related operational risk exposure
